We may use personal information to:

  • respond to enquiries and quotation requests;
  • provide and administer our services;

4. Our lawful bases for processing

Under UK data protection law, we rely on one or more lawful bases depending on the purpose of the processing.

These may include:

Contract: where processing is necessary to provide services you have requested or to take steps before entering into an agreement with you.

Legitimate interests: where processing is reasonably necessary to operate and protect our business, administer client relationships, provide support and improve our services, provided those interests are not overridden by your rights.

Legal obligation: where we are required to retain or process information to meet legal, taxation, accounting or regulatory requirements.

Consent: where consent is the appropriate lawful basis, for example for certain optional marketing or cookie technologies. Where we rely on consent, you may withdraw it at any time.

5. Reedy’s Client Portal

Clients may be provided with access to the Reedy’s Client Portal.

The Portal may process information relating to:

  • your client account;
  • authorised users and contact information;
  • services and packages;
  • websites associated with your account;
  • support tickets and replies;
  • documents and acceptance records;
  • service requests;
  • account and security activity; and
  • billing and invoice information.

We maintain activity and security records where reasonably necessary to operate the Portal, provide an audit trail and protect client accounts and our systems.

These records may include timestamps, actions performed, authentication events and technical security information.

6. QuickBooks Online and billing information

Reedy’s Web Designs uses QuickBooks Online for accounting and invoicing.

Where appropriate, the Reedy’s Client Portal may securely retrieve billing information associated with your client account from QuickBooks Online. This may include information such as:

  • invoice numbers;
  • invoice dates;
  • due dates;
  • invoice amounts;
  • outstanding balances; and
  • payment status.

Access to QuickBooks is handled through secure server-side authentication. QuickBooks access credentials and authentication tokens are not provided to Client Portal users.

Client accounts are explicitly associated with the appropriate accounting customer record to restrict access to the relevant client’s billing information.

We do not use the Client Portal to give clients general access to our QuickBooks account.

QuickBooks Online is provided by Intuit and its processing of information is also subject to Intuit’s applicable privacy terms and policies.

7. Website management and monitoring

Where you purchase website management, hosting, maintenance or related services, we may process technical information concerning your website in order to provide those services.

This may include:

  • WordPress and software versions;
  • installed plugins and themes;
  • available software updates;
  • website health and connectivity information;
  • security and integrity information;
  • backup status;
  • domain and SSL information;
  • website configuration information; and
  • technical diagnostic information.

Our management systems are designed to collect only information reasonably required to provide and administer these services.

8. Support communications

When you submit a support request, we process the information you provide so that we can investigate and respond to the issue.

Support records may be retained as part of the client’s service history and may include messages, timestamps, status changes and actions taken by Reedy’s Web Designs.

Please avoid including passwords, payment card details or other unnecessary sensitive information in support messages.

9. Payment information

We may process information relating to invoices, payments and outstanding balances as part of administering your account.

Where payments are processed by a third-party payment provider, payment card or banking information may be processed directly by that provider. We do not intentionally store full payment card details within the Reedy’s Client Portal.

10. Sharing your information

We may use trusted third-party service providers where reasonably necessary to operate our business and provide our services.

These may include providers of:

  • website and server hosting;
  • domain services;
  • accounting and invoicing;
  • email and communications;
  • cloud storage and backup;
  • security and monitoring;
  • payment processing; and
  • other technical infrastructure.

We only disclose information where reasonably necessary for the relevant service, where you have instructed us to do so, or where disclosure is required or permitted by law.

We may also disclose information where reasonably necessary to establish, exercise or defend legal claims or protect our business, clients or systems.

11. International data transfers

Some third-party technology providers may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate lawful transfer mechanism or safeguard applies as required by UK data protection law.

12. How long we keep your information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing services and meeting legal, accounting, taxation and dispute-resolution requirements.

Different records may therefore have different retention periods.

For example, financial and transactional records may need to be retained after a client relationship ends to meet statutory accounting and taxation requirements.

Security, contractual and activity records may also be retained where reasonably necessary to establish what actions or agreements occurred during a client relationship.

Information that is no longer required will be deleted, anonymised or securely disposed of where appropriate.

13. How we protect your information

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

Depending on the system and information concerned, these measures may include:

  • access controls and authentication;
  • encrypted communications;
  • restricted administrative access;
  • encrypted storage of sensitive authentication credentials;
  • security and activity logging;
  • website and system monitoring;
  • backups; and
  • separation of administrative and client-facing systems.

No internet-connected system can be guaranteed to be completely secure, but we take reasonable measures appropriate to the nature of the information we process.

14. Cookies

Our website and Client Portal may use cookies or similar technologies where necessary for functionality, security, authentication and user preferences.

Some cookies are essential for services such as account login and cannot reasonably be disabled while using those functions.

Where consent is required for optional cookies or similar technologies, appropriate consent controls will be provided.

Further information about cookies used on our website may be provided through our cookie settings or Cookie Policy.

15. Your data protection rights

Depending on the circumstances, UK data protection law may give you rights including the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of information in certain circumstances;
  • request restriction of processing;
  • object to certain processing;
  • request transfer of information where applicable;
  • withdraw consent where processing is based on consent; and
  • complain about how your personal information has been handled.

These rights are not absolute and may be subject to legal exceptions.

We may need to verify your identity before fulfilling a request.

16. Complaints

If you have a concern about how Reedy’s Web Designs handles your personal information, please contact us first so that we can investigate the matter.

You also have the right to raise a complaint with the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.

17. Third-party websites

Our website and services may contain links to third-party websites.

Reedy’s Web Designs is not responsible for the privacy practices or content of third-party websites. You should review the privacy information provided by the relevant organisation when using its services.

18. Changes to this Privacy Policy

We may update this Privacy Policy where our services, systems, suppliers or legal obligations change.

The current version will be published on this website together with its latest revision date.
